Candy Fixture Purchase Orders: Link the Order to the Approved Drawing

A fixture purchase order should identify exactly what the supplier is being asked to produce. A product photograph is insufficient for a custom order.
Start with the decision
Reference the accepted quotation, drawing revision, quantities and finish approvals. Separate the supplied furniture from buyer-provided equipment, local electrical work, freight and installation so a missing item is visible before production.
Work through the details
Define approval gates and substitution rules. A changed hinge, panel material or shipping division can alter operation even when the outside appearance remains similar. Record the accepted change on the order documents.

A planning example
Two quotations show the same counter picture. One includes clear bins and export packing; the other covers the base cabinet only. Write those as separate lines before comparing totals. Reference the selected bin version and approved counter drawing on the purchase order so receiving staff know what should arrive.
Check it in the shop
Prepare a receiving checklist from the same unit schedule. Check labels, package condition and included hardware against the order, and keep unresolved differences linked to the original line item.
| Checkpoint | Record to compare | Action when different |
|---|---|---|
| Buying unit | Supplier case configuration and ordered units | Clarify and revise before approval |
| Acknowledgment | Accepted order revision and supplier confirmation | Resolve changed lines before dispatch |
| Receipt | Actual items, quantities and condition | Record partial or exception; assign a decision owner |
| Invoice | Agreed prices, receipt and approved charges | Request correction or record an approved adjustment |
A qualitative workflow checklist; acceptance criteria must be agreed for the actual product and location.
